Responsibilities include:

  • Accounts receivable and accounts payable
  • Payroll
  • Human resources
  • Compliance
  • Office operations
  • Auditor assistance
  • Working with bookkeeper

Requirements:

  • Human resources experience
  • Accounting experience
  • Knowledge of state and federal laws and regulations
  • Experience with QuickBooks software preferred
  • Non-profit background preferred
  • Ability to work independently and handle multiple projects
  • Strong verbal, written, and interpersonal communication skills, professionalism
  • Commitment to uphold strict confidentiality 

Responsibilities in detail:

  1. Accounts Receivable
    • Receive incoming checks
    • Prepare and deliver bank deposits
    • Review bank statements
    • Manage manual cash receipts journal
    • Prepare and input data into electronic journals
    • Request funds transfer (UBS)
       
  2. Accounts Payable  
    • Assign account number segments for each check prepared
    • Prepare expense reports
    • Print, co-sign, and copy checks
    • Mail check payments
    • Request stop payment orders (when necessary)
    • Close books each month’s end
    • Submit “void check” request to bookkeeper (when necessary)
       
  3. Human Resources 
    • Call in bi-weekly payroll
    • Review payroll reports for accuracy
    • Record time and attendance
    • Process “new hire” requests
    • Request and complete new jurisdiction orders
    • Provide insurance request(s) or cancellation(s) to Insurance Benefits Manager
    • Retirement Accounts: Calculate bi-weekly percentages, entering data onto online account forms
       
  4. Compliance 
    • Prepare and submit annual renewal forms for the following insurances:
      Gallagher-Bollinger:
      • Directors and Officers Liability
      • Professional Media
      • Fire
      • Unemployment & Disability
    • Notify/verify payroll processing company of tax changes
    • Submit annual PCI compliance application (for credit card charges)
    • File annual IRS renewals for NAS state affiliates
  5. Administrative assistance
    • Compose quarterly budget reports
    • Create & maintain filing system (vendor, books, members, and foundations)
    • Answer AP or AR telephone or written inquiries
    • Process email request(s)
    • Order office supplies and/or office equipment
    • Update foundation files with check and acknowledgment copies
    • Organize & manage office move (when needed)
       
  6.  Annual Audit Assistance
    • Answer questions and provide copied documentation for audited year
    • Obtain president’s signature
    • Copy completed tax forms & send certified mail
  7.  Honoraria Orders

    Receive and process list of honoraria recipients from Academic Questions Managing Editor
